Searching for tasks

After you create a task, you can search for tasks in the Workspace Management tool. You can search for tasks by using quick search or advanced search.

Note: Search terms can contain a wildcard character (asterisk) to increase the scope of the search results. The wildcard indicates that all task groups that contain the partial search term should be returned in search results. Wildcard searching can help more advanced search users quickly find and display large amounts of search results.

For example, submitting a search for task* returns search results for all tasks that start with the term task, such as task A and task B.

Before you begin

Ensure that you are logged in to the Workspace Management tool as one of the following roles:
  • Workspace manager
  • Task group approver
  • Content contributor
Be aware of the following search limitations:
  • Advanced searches with only a status that is specified do not return any search results. You must use a wildcard search in the name or code field to search for task groups with a specific status.
  • Searches with due dates specified do not search on task records, since these due dates do not contain a value.
  • Search results are read-only for approvers and contributors.
  • Searches for tasks by name with wildcards do not return tasks with no record in the CMFTASKDSC table. Instead, you must search by task code.

Procedure

  1. Open the Workspace Management tool.
  2. To search for tasks by using quick search:
    1. Click the Search options arrow Search options arrow on the toolbar and select Task. A search is performed on tasks.
    2. Enter your search term in the toolbar search field and click Find Find.
  3. To search for tasks by using advanced search:
    1. Click the Search options arrow Search options arrow on the toolbar and select Advanced Search. The advanced search page opens.
    2. Click the Task tab. A search is performed on tasks.
    3. Enter your search term in the following fields:
      Code
      The language independent task identifier.
      Name
      The name of the task.
    4. Select from the following search filters:
      Due date
      The due date of the task, which is filtered as a date range by a:
      • Specified From date
      • Specified To date
      Status
      The status of the task, which is filtered by all statuses, or by:
      • Inactive
      • Working
      • Completed
  4. The task search results are displayed in a list view and sorted by the following options:
    PropertyDescription
    Code The language independent task identifier. This field is read-only.
    Type An icon that represents the type of business object. This field is read-only.
    Name The name of the task.
    Status The status of a task in the workspace. This field is read-only. The task status can be one of To Do To Do, Re-Do Re-Do, Working Work in progress, Completed Completed, Pending ApprovalPending Approval, Approved Approved, or Canceled Canceled.
    Due Date The year, month, and day for the task to be completed. This is an informational field. This property is read-only.
    Date Completed The date that the task is marked as completed. This field is read-only.
    Date Approved The date that the task was approved. This field is read-only.
    Task Group The name of the task group that the task is associated with. This field is read-only.
    Workspace The name of the workspace that the task is associated with. This field is read-only.
