Managing Received Inventory

An Inventory listing records items delivered to a business, aiding in Inventory management. It includes details of received products, helping to track stock levels accurately. This listing is vital for Inventory control, ensuring the right items are received in the correct amounts.

Before you begin

  • Ensure that you understand your organization's inventory management system and its related procedures before using the Inventory dashboard to upload inventory-related data.
  • Ensure that you have a login provided to you that is assigned a role with administrator privileges. This role is required to access the Inventory dashboard.
  • Review Working with Available-To-Promise (ATP).

Procedure

To manage received Inventory listing:
  1. Log in to Commerce Lab.
  2. Select Business Tools > Inventory Management. Select Inventory Dashboard from the tertiary menu to navigate to the Inventory Dashboard page.
  3. Under the Receive and Organize Inventory tab, you can manage the Received Inventory.
    The Received Inventory Listing page is displayed.
  4. Apply your changes to the Received Inventory.
    Receive Inventory
    1. Select Receive Inventory to start the creation workflow.
    2. From the menu Purchase Order, Vendor & Product Details select an open or partially received purchase order. Next, select the required item (SKU), followed by the channel. The Organization (Org) and other fields are automatically populated based on the selected purchase order.
    3. Select Next, from the menu Quantity Details enter the total stock-keeping unit quantity or the package configuration values.
      Note: In the Quantity Details, by-default you have to enter the Total item Quantity, but if you use the toggle button then enter Packages Received and Pieces per Package.
    4. Select Next, from the Delivery Details enter the name, email address, phone number, delivery date, delivery time, and comments for the carrier representative.
      Note: Comments: Optional operational notes explaining an item discrepancy. The maximum character limit is 255.
    5. Select Finish to save the received inventory record.
    6. Select Ready for Verification to update the status of the record.
    7. Select Verify to review live inventory updates. Enter the declared quantity, actual received quantity, verified inventory quantity, and comments, and then select Mark as Verified.
      Note: You can edit Inventory details only when Inventory status is in Received or Back to Received state.
    8. Select Organize Inventory to distribute the verified stock into operational categories.
    Organize Inventory

    Select Organize Inventory to organize and sort the received Inventory into appropriate buckets. You will navigate to a new page Organize Inventory.

    Note: The organize inventory flow is enabled for the Workflow, and it is Auto-Approved.

    On Organize Inventory page you can view details such as Store, Inventory Location, item/ Product Name, and Received date. You can also view graph for Verified, Returned and Organized.

    You can view and sort or organize Inventory in the three following ways:
    1. Confirm Return Inventory involves addressing defective or damaged item returns and correctly logging them in the Inventory system.
    2. In Organize Expected Inventory, you can organize Inventory by entering following details:
      • Expected Inventory ID
        Note: Users can view IDs only if they exist for the same part number, IL, and Store.
      • Quantity
      • Comments
    3. In Organize Ad-hoc Inventory, you can organize Inventory in following three buckets:
      • On Hand Quantity
      • Reserved for Promotion
      • Unavailable Quantity
      Note:
      • Fill at least one of the three buckets to move forward. The sum of on-hand, reserved, and unavailable quantities must not exceed the remaining organized quantity.
      • When the store is not assigned, the Ad-hoc Inventory moves the record to the unassigned onhand column.

      You can add comments and select Finish to organize the Inventory.

    Note:
    • When a record is discarded or organized, it is not visible on the listing page.
    • The system automatically saves the records.

Results

Your received Inventory is updated and organized to reflect the latest changes. End-users can now observe and place orders based on received Inventory, or orders can be completed based on expected Inventory being received.
