v2.1.7+Managing definitions from the Library
In the Library, you can create, edit, run, duplicate, delete, and toggle the draft status of item definitions, and organize them in folders — all without opening a canvas workspace.
About this task
Every action in the Library writes directly to the database. To reflect these changes in an open canvas workspace, perform a Workspace Merge. For details, see Managing your workspaces.
Procedure
- In the UI, select Design, and then select the Library tab.
-
In the folder tree, select the folder where you want to work.
To manage folders themselves, choose one of the following actions:
- Create a folder
- Click Add new + and select Folder. Type the folder name and confirm. The new folder appears in the tree under the currently selected parent.
- Rename or move a folder
- Right-click the folder in the tree and select Edit. Update the name or parent folder path and save.
- Delete a folder
- Right-click the folder in the tree and select Delete. After deletion, the view automatically refocuses on the parent folder.
-
To create a new item definition in the selected folder, click Add
new + and select the definition type.
The following definition types are available from the Add new + menu:
- Calendar
- Credentials
- Endpoint
- Event source
- Folder
- Human task queue
- Task template
- Resource
- Run cycle group
- Variable table
- Workstation
The definition editor for the selected type opens. Complete the required fields and save to write the definition to the database.
-
To act on an existing definition, expand its category accordion, locate the
item, and select an action from the action bar or right-click context menu.
The available single-item actions are:
- Edit
- Opens the properties panel of the definition with the current values populated. Save to commit changes to the database.
- Delete
- Permanently removes the definition from the database. This action cannot be undone.
- Run
- Creates a definition instance in the plan for immediate run. Available for tasks and workflows only.
- Duplicate
- Creates a copy of the definition in the same folder. The copy is created with a default name that you can rename immediately.
- Run cycle preview
- Opens the Run cycle preview panel for the workflow definition, where the scheduled runs of the workflow instances are displayed. The panel is read only.
- Draft
- Adds the
Draftflag to a workflow definition. While in draft, no workflow instances are created in the plan until theDraftflag is removed. - Undraft
- Removes the draft flag from the workflow definition.
- Nop
- Adds the
nopflag to every embedded task inside a workflow definition. While innop, a task instance is generated in the plan and it is placed inSUPPRstatus. If the task contains standard dependencies, they are released and the successors are launched. If the dependency is of conditional type, the condition has to be satisfied before the successors can run. - Unnop
- Removes the
nopflag from every embedded task inside a workflow definition. - New version
- Creates a copy of a workflow
definition with a different
valid fromvalue in the same folder. - Open in a new workspace
- Opens a definition in a new workspace with a default name.
What to do next
To open a workflow or task definition in the Graphical Designer for visual editing, see Opening definitions in a canvas workspace. To perform actions on multiple definitions simultaneously, see Performing bulk actions and handling permissions.
The single-item actions described in this step are also available from the three-dot menu on any entry in the Recent activity tab. For details, see Navigating and searching the Library.
