v2.1.7+Performing bulk actions and handling permissions

In the Library, you can select multiple item definitions across categories, and the action bar dynamically shows only the operations applicable to all selected items — with ACL-restricted items identified before any action runs.

About this task

When definitions of different types are selected together, the Library computes the intersection of available actions. Only actions supported by every selected definition are shown in the action bar — inapplicable actions are hidden entirely. If your security role restricts access to some of the selected items, a confirmation dialog identifies which items are skipped before the action runs.

Procedure

  1. In the UI, select Design, and then select the Library tab.
  2. Navigate to the folder that contains the definitions you want to act on.
  3. Select the checkbox next to each definition you want to include in the bulk operation.
A floating counter badge appears, showing the number of selected items broken down by category (for example, Folder 1, Workflows 3, Task definition 7). The action bar updates to display only the actions that apply to all selected items.
  4. Select the action you want to perform from the action bar.

Results

The action runs on all authorized items. Skipped items remain unchanged. After the operation completes, the selection is cleared and the action bar returns to its default state.

What to do next

To review which security roles and folder-level ACLs govern access to specific item types, see Managing security access. To manage definitions individually, see Managing definitions from the Library.
