Making calendar details available to other users

You can make calendar details available to other users with settings on the server's configuration settings document and preferences in your mail file.

About this task

By default, HCL Verse® users can view free and busy times of other users when creating meeting invitations, but they cannot view details for each time slot. It may be helpful for users to see detailed information, such as the subject and chair, when they schedule meetings.

To make calendar details available to all users:

Procedure

  1. From HCL Domino® Administrator, open the Verse® server's configuration settings document.
  2. On the Basics tab, for the field Use these settings as the default settings for all servers, click Yes.
  3. Enable the field Extract calendar details.
    Note: The Extract calendar details field does not display unless you perform step 2.
  4. Using the Notes client, set your mail file preference to allow details to be shown. In Access & Delegation > Access to your schedule, set the option What schedule information are they allowed to see? to include details. This will allow users to see the subject and chair when hovering over meetings in the Find Available Times dialog box when they are creating a meeting invitation.
    Note: To prevent the subject from appearing, select the option Do not include the subject of calendar entries in details.
