Policies
Use Domino® policy settings to control how users work with Notes®. A policy is a document that identifies a collection of individual policy settings. Policy settings documents define a set of defaults that apply to the users and groups to which the policy is assigned. You can change policy settings and they will be automatically applied to the assigned users and groups.
Assigning NOTES.INI or location document settings using a desktop policy
Assign custom NOTES.INI settings or Locations settings using the Custom Settings tab of the Desktop Settings document.
Enabling a custom color theme on Notes® clients
Use the notes.ini setting CUSTOM_THEME_COLOR to apply a custom color theme to Notes® clients.

- Configuring a network
  This section presents the planning concepts and setup procedures necessary for a successful HCL Domino® deployment over a network. It provides information on network protocols from a Domino perspective but does not attempt to provide general network information.
- Configuring users and servers
  Topics in this section describe how to set up users and servers.
  - Understanding the Server document
    The Server document is set up when you register a server. It contains many of the settings that define how your server operates.
  - Policies
    Use Domino® policy settings to control how users work with Notes®. A policy is a document that identifies a collection of individual policy settings. Policy settings documents define a set of defaults that apply to the users and groups to which the policy is assigned. You can change policy settings and they will be automatically applied to the assigned users and groups.
    - Organizational and explicit policies
      There are two types of policies: organizational and explicit. Understanding the differences between the types helps you plan the implementation.
    - Understanding policy hierarchy and effective policy
      The effective policy for a user is a set of derived policy settings that are dynamically calculated at the time the policy is executed. The field values in an effective policy can originate from many different policy settings documents associated with the policy documents that apply to the user. Users may have a combination of policy settings that include values set at their OU level, values set with an explicit policy -- including values assigned to groups the user is a member of -- and settings inherited from a parent policy. The resolution of those settings determines the effective policy for each user.
    - Assigning dynamic policies
      Before you register and set up users, plan and create policies. Then, during user registration, assign the policies.
    - Understanding the How to Apply setting for a policy
      The policy settings documents contain a How to Apply setting that enables you to uniformly control how and when users can modify the individual field values in these documents and when the field values cannot be modified by end users. The How to Apply feature provides a central location, the policy settings document, from which you can set, and optionally, lock down policy settings. This feature is especially useful for implementing company procedures and increasing security. The How to Apply setting is available in all policy settings documents.
    - Assigning NOTES.INI or location document settings using a desktop policy
      Assign custom NOTES.INI settings or Locations settings using the Custom Settings tab of the Desktop Settings document.
      - Reverting the V14.0 Notes Workspace design
        HCL Notes V14.0 provides updates to a new Workspace design that was introduced in V12.0.2 . If you'd prefer not to use that design, use the client notes.ini setting EnableV1202WorkspaceLook=0 to revert to the V12.0.1 Workspace design.
      - Controlling the default font in the Notes mail text editor
        Use the notes.ini setting MailEditorFontAsDefault=<fontname,fontsize> in a Desktop policy to apply a default font to be used for the Notes client mail text editor.
      - Controlling the dynamic online meeting services that are visible
        Apply a notes.ini setting to HCL Notes clients to control the meeting services that are available for users to schedule dynamic online meetings.
      - Disabling the Group By Date feature
        The HCL Notes mail feature Group By Date is enabled by default. If you want to disable it, use the client notes.ini setting EnableGroupByDate=0.
      - Disabling typehead for "Search in view"
        You can disable the typeahead behavior introduced in HCL Notes 12.0 for Search in view.
      - Controlling client JVM settings
        Beginning with HCL Notes 12.0.1, notes.ini settings are available to apply custom JVM setting values to the standard Notes client and Domino Designer client.
      - Controlling which Advanced Properties menus are visible
        By default, all of the Advanced Properties menus for documents introduced in Notes 12.0.1 are available to Notes users. Apply notes.ini settings to clients to hide some or all of the menus.
      - Configure settings related to the Notes workspace design
        You can set a color for the text in the Notes workspace. You can revert the workspace to the Notes 11 design.
      - Enabling Notes XTAF spelling dictionaries on the Mac
        As of HCL Notes V12.0, the Mac client uses spelling dictionaries provided through the Mac OS, by default. Use the client notes.ini setting SPELL_FORCE_LEGACY=0 to switch to using the pre-installed Notes XTAF dictionaries, instead.
      - Enabling improved rendering of HTML buttons that use exact positioning
        As of Domino 12, when Notes users receive external mail messages with HTML-rendered buttons that use exact positioning, the notes.ini setting DontFilterPositionStyling=1 is available to render them properly.
      - Controlling the display of single email actions
        Use the notes.ini setting ShowAllActionInActionBar to control how view actions for a single email message are displayed in HCL Notes®.
      - Configuring a custom image for the Notes Workspace background
        Use the notes.ini setting Load_Workspace_image to deploy a custom image to display in your users' Notes Workspace background.
      - Disabling SwiftFile
        SwiftFile is integrated with HCL Notes® starting in Notes 11.0.1. If you do not want your users to use SwiftFile, use the notes.ini setting DisableSwiftFile=1 to disable it on Notes clients.
      - Specifying the IBM Protector server URL setting using a desktop policy
        Use the NOTES.INI setting $PROTECTOR_LOCATION=URL to specify the URL that accesses the IBM Protector for Mail Security 2.5 server.
      - Customizing mail quota warning text using a desktop policy
        You can use a NOTES.INI setting to specify the URL or text that will appear when a HCL Notes® user's mail file size exceeds the mail quota threshold or the maximum mail quota size.
      - Enabling a custom color theme on Notes® clients
        Use the notes.ini setting CUSTOM_THEME_COLOR to apply a custom color theme to Notes® clients.
      - Configuring iCalendars
        Use the AddCalendarURL setting to push Google calendars, Notes® application calendars, or icalendar feeds to HCL Notes clients. If Notes users overlay ical-based calendars and the calendar content changes frequently, use the notes.ini setting FeedRefreshInterval to set an interval at which the calendars are automatically refreshed.
      - Enable internet addresses in the Notes® mail and calendar
        You can enable internet addresses rather than Notes® addresses to display in the HCL Notes client mail and calendar. For example, display sdaryn@renovations.com rather than Samantha Daryn/Renovations@Renovations.
      - Retaining MIME formatting when forwarding or replying to internet messages
        Administrators can push the notes.ini setting KeepReplyForwardMime=1 to Notes standard clients. This setting retains MIME message formatting when users reply to or forward messages received from the internet. Without this setting, MIME messages are converted to Notes Rich Text which can cause some MIME formatting to be lost.
      - Disabling support for automatic opening of Notes links with fully-qualified domain names
        In IBM Notes 9.0.1 Feature Pack 9 or later, Notes users can open applications through Notes links that have fully-qualified domain names without creating Connection documents. This enhancement is enabled by default. If you want to disable it, add the notes.ini setting DISABLE_SERVER_HINT=1 to the client.
      - Enabling additional components for roaming
        IBM Notes 9.0.1 Feature Pack 9 introduced support for additional roaming components. The following table describes the notes.ini setting requirements.
      - Enabling partial replication for slow network speed
        Beginning in HCL Notes® 12, a client notes.ini setting can be used to change between full and partial replication based on network bandwidth.
      - Enabling improved replication performance over low-bandwidth connections for MMR users
        To enable Notes Managed Mail Replica (MMR) users to control how much of application documents to replicate initially over low-bandwidth connections, push the notes.ini setting EnableReplicationOptionForMMR=1 to Notes clients. This feature is available in Notes 9.0.1 Feature Pack 9 or later.
      - Ensuring improved fidelity for signatures in emails sent to external users
        Ensure that improved fidelity for signatures in emails sent to external users, introduced in IBM Notes 9.0.1 Feature Pack 9, is available to your users. If the notes.ini setting MIME_MAIL_USE_HAPI=1 is used on Notes clients, disable it by pushing the notes.ini setting MIME_MAIL_USE_HAPI=0. If MIME_MAIL_USE_HAPI=1 is not used, the enhancements are available and no action is needed.
      - Enabling improved support for Notes addressing with mobile directory catalogs
        To enable the names list to sort according to the directory catalog configuration when using typeahead to search a mobile directory catalog, push the notes.ini setting $TypeAheadShowDircatFirst=1 to Notes clients. Names in local contacts follow this list. In addition, the Search Directory for <characters> option is available at the end of the list to facilitate server lookup. This feature is available in IBM Notes 9.0.1 Feature Pack 9 or later.
      - Enabling improved name lookup in Notes
        To enable improved name lookup in HCL Notes when users search for names through typeahead or the ambiguous names dialog box, push the notes.ini setting AllowWildcardLookup=1 to Notes clients.
    - Assigning Eclipse preference settings using a desktop policy
      You can use a Desktop Settings document to add or remove Eclipse preferences used by Notes® or other Expeditor client application.
    - Configuring administrative settings for deploying Eclipse-based plug-ins
      You can centrally control various aspects of the Eclipse-based plug-ins that you deploy to HCL Notes® and non-Notes users.
    - Extending policy settings to HCL iNotes® and HCL Notes® profile documents
      You can customize the mail policy settings document and push new or customized settings to the profile document specified in the $Profiles field.
    - Creating policies
      Creating a policy is a two-step process. If you create an organizational policy, it automatically applies when you register users. If you create an explicit policy, you assign it manually during user registration, in the Person document or by using the Policy Assignment tool.
    - Managing policies
      To manage policies, you can perform any of the tasks listed in the related topics.
  - Defining default settings for Notes® user registration
    Before you register new Notes® users, you can specify default settings that apply to all users. Default settings simplify user registration and ensure user settings consistency. You can define many default settings, such as what mail server users have or what certifier ID to use for user registration. You can also specify a default workstation execution control list (ECL) to protect data from unauthorized workstation access.
  - Using groups
    Groups are lists of users, groups, and servers that have common traits. They are useful for mailing lists and access control lists. Using groups can simplify administration tasks.
  - Replicas
    You can make a database available to users in different locations, on different networks, or in different time zones, by creating replicas of the database.
  - Calendars and scheduling
    The calendar and scheduling features allow users to check the free time of other users, schedule meetings with them, and reserve resources, such as conference rooms and equipment.
  - Editing the notes.ini file
    The Domino and Notes notes.ini files contain the settings required for the server and client to operate correctly. If you modify or add settings in a notes.ini file, do so cautiously and never edit the file directly with a text editor.

    This section describes how to plan, set up, and use HCL Domino® directory services.

    This section provides an overview of messaging and describes how to set up mail routing, how to set up and customize mail servers, and how to track mail.

    HCL iNotes® provides HCL Notes® users with browser-based access to Notes mail and to Notes calendar and scheduling features. Administrators specify mail policy and security policy settings as well as notes.ini file settings to complete the full implementation of HCL iNotes.

Enabling a custom color theme on Notes® clients

Use the notes.ini setting CUSTOM_THEME_COLOR to apply a custom color theme to Notes® clients.

Procedure

Add the following setting to the Custom Settings tab in a Desktop Settings policy:

CUSTOM_THEME_COLOR=<R>,<G>,<B>

where <R>,<G>,<B> represent the red, green, and blue values to use as the basis for the theme color. For example:

CUSTOM_THEME_COLOR=128,0,128

To evaluate different colors for the theme and to see their color RGB values, from Notes®, click File > Preferences > Fonts, Colors, and Themes. With the HCL Theme selected, click Customize Theme. Next to Choose your theme, click the color box.
