Using HCL Docs
HCL Connections™ Docs is a new office productivity suite for working on documents, spreadsheets and presentations together. It provides real-time co-editing, allowing users to work on documents individually or collaboratively. Comment on a document, or even participate in a discussion. All this without the need of desktop software.

Work on a document by yourself or collaborate on files with your colleagues. You can comment on a document, or even participate in a discussion. All this in real-time. Upload an existing Open Document Format or Microsoft™ Word file or create a document to begin.

You can collaborate on a document in real time with others as a team. You can also co-edit with other editors, and create comments and discussions.

When you share a document with people and assign editor access to them, you are ready to co-edit in real time.

Welcome to the HCL Connections Docs 2.0.1 documentation, where you can find information about HCL Docs 2.0.1. HCL Docs is a collaborative productivity suite that enables you to work on documents, spreadsheets and presentations together in the cloud.

  HCL Connections™ Docs is a new office productivity suite for working on documents, spreadsheets and presentations together. It provides real-time co-editing, allowing users to work on documents individually or collaboratively. Comment on a document, or even participate in a discussion. All this without the need of desktop software.

  - Publishing a version of a file
    In order for readers to see a draft created in HCL Connections Docs, or edits made in Docs, a new version of the file must be published. As of August 2015, if a file is being created or edited in Docs for the first time, publishing is set to occur automatically. If a file was previously created or edited in Docs, you must either enable the Publish Automatically command in that file, or publish each new version manually.
  - What if I have a file conflict?
    A person can decide to upload a new version of a file while another person is editing the file online or has saved an online file that is not yet published. The new uploaded version is stored in Files as its own version number, and you are warned of the conflict the next time you try to edit the file from the Files list.
  - Reverting to last version
    When you are editing in HCL Connections™ Docs, if you are not satisfied with the current version of your document, you can revert to the last version that was published. You can choose to save or discard your current edits before you revert to the last version of a document.
  - Viewing a file by using the viewer
    You can view an uploaded document, spreadsheet, presentation, or PDF file while you are working in Files.

    Accessibility features assist users who have a disability, such as restricted mobility or limited vision, to use information technology content successfully.

        Co-editing with others in documents
        Multiple editors on a team can edit a document at the same time. You can edit in a different, or the same, paragraph, table, image, and other document elements. Every editor can see the changes in different colors at the same time.
        Showing changes by each editor in a document
        When you and others are co-editing a document, changes by each editor are underlined in a different color. You can choose whether to show or hide the underlines.

        The integration of Connections Chat Cloud with HCL Connections™ Docs makes it easy to chat with co-editors and see their availability.
      - Collaborating by using comments in documents
        When you collaborate with multiple editors on a document, it is convenient to add comments to help you communicate with editors who are working at different times.
    - Tracking changes in documents over time
      If the file owner turns on change tracking, editors can see the file's change history--who made what changes and when.
    - Editing documents
      When you edit a document, you can set formatting properties, such as fonts, alignment, and indentation. You can create a bulleted or numbered list, insert a link, create a header or a footer, and use spell-checking. You can also print your document.
    - Working with images in documents
      You can insert an image and set image properties. You can resize an image by dragging it or by using the Image Properties window.
    - Creating and editing tables in documents
      You can create a table, insert, delete, and resize rows and columns. You can set various properties for an entire table or for one or more cells.

      You can use keyboard shortcuts to perform tasks in documents. All shortcuts are valid on Windows™ operating systems. On Mac OS, press Command instead of Ctrl.

Collaborating by using Connections Chat Cloud in documents

The integration of Connections Chat Cloud with HCL Connections™ Docs makes it easy to chat with co-editors and see their availability.

Connections Chat Cloud is integrated with the editor panel in the collaboration sidebar. The icon displays their chat availability status.

Click the arrow arrow to open the business card following the co-editor's profile picture to show the co-editor's business card from Connections Social Cloud. The business card displays profile information, a Files option to open the file list, and a Connections Chat Cloud option.

Note: If you do not have Connections Chat Cloud, availability icons are not displayed and business cards do not display a chat option.
