Changing the state of multiple records

You can use the multirecord update feature to change the state of multiple HCL Compass records in a query result set.

1. Run a query. To work with a subset of the result set records, use the Create Query from Selection feature.
2. Select a record to use as the template record for the multirecord update. The changes that you complete on the template record are recorded and played back on the other records in the result set. Right-click the record, and then click Multi-Record Update.
3. Click Change State, and then click an action from the list. The template record becomes editable. The changes that you make on the template record are listed on the Edits tab.
   Note: If only one action is available in your schema, then there is no Change State menu. The name of the action is displayed on the template record.
4. Click Save or Save and Close to update the multiple records. A confirmation dialog opens, which advises you that the template record will be saved and a multirecord update will be performed. The message also tells you how many records will be updated. Click OK. If there are problems saving the template record, an error message opens and the multirecord update does not proceed. Correct the error and then save again.
5. View the multirecord update results in the query result set tab. The status of each record is updated dynamically in the Information column. A green square indicates that the record was updated. An X inside a red circle indicates that the record update failed. Hover your pointer over the failure icon to view the associated error message. If the multirecord update is paused or terminated before it completes, theInformation column for the records that have not been updated will be empty.
   When the multirecord update is complete, records in the query result set have either been changed and saved, or reverted because of an error. If errors occur, use Create Query from Selection to create a new result set that contains only the records that were not updated. Then, run multirecord update again to correct the errors.

   Note: Before you can run another multirecord update, you must close the original Multi-Record Update tab. When you close the Multi-Record Update tab, the query result set is moved to its own tab and retains the status of the multirecord update.
6. If you want to perform another multirecord update on the same result set and you clicked Save in step 4, then you can select another action to perform and repeat step 3 through step 6. If you want to perform a multirecord update on a different set of records, close the Multi-Record Update tab. You can have only one Multi-Record Update tab open at a time.
