Sharing with Users & Groups

Opening the Share Dialog

  1. Right-click a file or folder and select Share.
2. The Share Dialog opens displaying the sharing options in a single unified view.

Sharing with Specific Users

  1. In the People with Access section, type a name or email in the "Add people or groups" search box.
  2. The application searches the organization directory for matching users.
  3. Select a user or group from the results.
  4. Choose a permission level:
  5. Reader — View-only access. The recipient can view and download but not edit.
  6. Writer — Edit access. The recipient can view, download, and modify the file.
  7. Click Share (or confirm) to grant access.

Sharing with Groups

Follow the same steps as sharing with users. When searching, group names also appear in the results. Sharing with a group grants access to all members of that group.

Organization-Wide Sharing

You can share a file or folder with everyone in your organization by selecting the "Everyone" / organization option in the share search results.

Note: Items shared with the entire organization do not appear automatically in each user's Shared with me folder. The item only appears there after the individual user has accessed it at least once.

Viewing the Access List

The People with Access section in the Share Dialog lists all users and groups who have access to the item:

  • Avatar — User initials or group icon.
  • Name and email — The recipient's display name and email address.
  • Permission level — Reader, Writer, or Owner.
  • More options (…) — Additional actions for each recipient.

Editing Share Permissions

  1. In the Share Dialog, find the user/group in the access list.
  2. Click the permission dropdown next to their name.
  3. Change the permission from Reader to Writer (or vice versa).
  4. The change is saved automatically.

Removing a Share

  1. In the Share Dialog, find the user/group in the access list.
  2. Click the more options (…) button.
  3. Select Remove access.
  4. The user/group no longer has access to the item.

General Access

At the bottom of the Share Dialog, the General Access section controls the default visibility of the item:

  • Restricted — Only people with explicit access can view the item.
  • Everyone at {org} — All members of the organization can view or edit (depending on the permission level set).

Share Restrictions

  • Only the file owner can perform certain sharing actions (e.g., creating public links).
  • If you attempt to share a file you do not own, you may see the message: "You can only share files you own."
  • Permission checks are enforced to prevent unauthorized sharing.
  • A shared status badge/indicator is displayed on files that are shared.
