File Status Indicators

In both Grid View and List View, small icons appear alongside the file name to indicate sharing status at a glance:

Icon Tooltip Meaning
Shared people icon Shared The item has been shared with one or more users or groups.
Globe icon Public link active The item has at least one active public link.

Both indicators can appear at the same time if the item is both shared and has a public link. Hovering over an icon displays its label as a tooltip.

File Thumbnails

In Grid View, supported files display a visual thumbnail preview instead of a generic icon. Thumbnails are generated server-side and cached on the file record; they are available shortly after upload.

Supported file types and how thumbnails are generated:

Category Extensions Generation method
Images .jpg, .jpeg, .png, .gif, .bmp, .webp, .tiff, .tif Decoded and scaled natively on the server (no external dependency). Max 256 px.
Videos .mp4, .mov, .m4v, .3gp, .3g2 Cover-art image extracted from the video container's embedded artwork (ISO BMFF covr atom). No video decoding is performed. If no cover art is embedded in the file, no thumbnail is generated.
Office — OOXML .docx, .xlsx, .pptx Embedded thumbnail extracted from the file's internal docProps/thumbnail.jpeg. Microsoft Office embeds a thumbnail in most files; files created by LibreOffice or Google Docs typically do not contain one, so those fall back to Collabora Online conversion (if configured).
Office — Legacy .doc, .xls, .ppt Converted to PNG via Collabora Online.
PDF .pdf Converted to PNG via Collabora Online.

Note: Image and video thumbnails are generated natively on the server and do not require Collabora Online. Thumbnails for Office and PDF files require Collabora Online to be configured by the administrator; if Collabora is not available, those file types display a generic icon instead. Thumbnail generation can also be disabled entirely by the administrator.

Thumbnail limits:

  • Images: files up to 50 MB are eligible.
  • Documents/PDFs: files up to 100 MB are eligible.
  • Thumbnail resolution: 256 × 256 px maximum.

Thumbnail status: After upload, a thumbnail may take a moment to appear. The server processes thumbnails asynchronously and retries up to 3 times on transient failures, with a 5-minute interval between each retry attempt.
