Admin Database UI
When file_admin.nsf is opened in a Notes client, it presents a frameset with a navigation panel on the left. Clicking a navigation item opens the corresponding view or page in the main panel.
Audit Log
The admin database maintains an audit trail of significant operations performed by the add-in and by administrators. The Audit Log can be accessed from the navigation panel and is presented in two views:
| View | Description |
|---|---|
| All by Date | All audit entries sorted chronologically, newest first. Use this view for a chronological timeline of activity. |
| By Category | Audit entries grouped by category (e.g. file operations, user-data deletion, configuration changes). Use this view to focus on a specific type of activity. |
Admin Page
Clicking Admin in the left navigation panel opens the Admin page — a frameset page that provides quick access to common administrative operations. The following buttons appear across the top of the page:
| Button | Action |
|---|---|
| Stop Files | Issues tell files quit to the Domino server via NSFRemoteConsole, stopping the add-in task. |
| Start Files | Issues load files via NSFRemoteConsole, loading the add-in task. |
| Read Logs | Reads the two most recent files-related entries from log.nsf (filtered by the files prefix) and displays them in the lower portion of the Admin page. |
| Remove User Files | Opens the Remove User Files form so an administrator can initiate a user-data deletion. See Remove User Files. |
| search-sync | Issues tell files search-sync via NSFRemoteConsole, triggering an immediate synchronisation of the external search index. |
| purge-expired-links | Issues tell files purge-expired-links via NSFRemoteConsole, immediately deleting all expired public share links. |
| storage-report | Issues tell files storage-report via NSFRemoteConsole, generating a storage usage report and saving it to the admin database. See Storage Report. |
Remove User Files
The Remove User Files form allows an administrator to delete all Files content owned by a specific user — for example to fulfil a GDPR right-to-erasure request.
Input section
The administrator enters the target user's Distinguished Name (DN) in the input field at the top of the form (e.g. CN=John Doe/O=Acme).
Actions
Two action buttons appear at the top of the form:
| Button | Behaviour |
|---|---|
| Dry Run | Issues tell files delete-user-data-dryrun <user_dn> — a read-only operation that reports all content owned by the user without deleting anything. The results are displayed in the lower portion of the form. |
| Delete | Issues tell files delete-user-data <user_dn> — permanently and irreversibly deletes all Files content owned by the user. The add-in processes the deletion and the results are displayed in the lower portion of the form. |
Best practice: Always run Dry Run first and review the listed content before clicking Delete.
Storage Report
The Storage Report shows per-user storage consumption across the data database. It is generated by clicking the storage-report button on the Admin page, which issues tell files storage-report via NSFRemoteConsole. The add-in saves the resulting report as a document in file_admin.nsf, where it can be opened and reviewed from the navigation panel.
For command-line options (such as limiting the number of entries or directing output to the console instead), see storage-report in the Tell Commands Reference.
