Using HCL Docs
HCL Connections™ Docs is a new office productivity suite for working on documents, spreadsheets and presentations together. It provides real-time co-editing, allowing users to work on documents individually or collaboratively. Comment on a document, or even participate in a discussion. All this without the need of desktop software.
Viewing a file by using the viewer
You can view an uploaded document, spreadsheet, presentation, or PDF file while you are working in Files.

  - Publishing a version of a file
    In order for readers to see a draft created in HCL Connections Docs, or edits made in Docs, a new version of the file must be published. As of August 2015, if a file is being created or edited in Docs for the first time, publishing is set to occur automatically. If a file was previously created or edited in Docs, you must either enable the Publish Automatically command in that file, or publish each new version manually.
  - What if I have a file conflict?
    A person can decide to upload a new version of a file while another person is editing the file online or has saved an online file that is not yet published. The new uploaded version is stored in Files as its own version number, and you are warned of the conflict the next time you try to edit the file from the Files list.
  - Reverting to last version
    When you are editing in HCL Connections™ Docs, if you are not satisfied with the current version of your document, you can revert to the last version that was published. You can choose to save or discard your current edits before you revert to the last version of a document.

    You can view an uploaded document, spreadsheet, presentation, or PDF file while you are working in Files.

Viewing a file by using the viewer

You can view an uploaded document, spreadsheet, presentation, or PDF file while you are working in Files.

About this task

After a file is uploaded to Files, you can view it. You can browse through the file, browse between files, and change page magnification. Viewing an uploaded file displays its contents without downloading the file.

Table 1 lists the file types that can be viewed.

Adobe™ Reader	.pdf Note: When viewing .pdf files, if you have accessibility requirements, download the file and then open it using a third party application that supports PDF accessibility.
Others	.txt, .rtf Note: If you view a file in HCL Connections, .txt and .rtf can only be viewed in Connections 6.0 CR1 and later versions.

Procedure

Viewing a file

Find the file in Files application and click the file name.
The file opens for you to view.

Browsing a file

To browse a file, take one of the following actions:
1. Scroll through the file by using the scroll bar.
2. Click Page down or Page up .
  
  Note: You can browse a spreadsheet only by using the scroll bar.

Browsing between files

To browse between files, click Next or Previous .

Changing the page display of a file

To change the page display of a file, take one of the following actions:
1. To change the page magnification, click Zoom in or Zoom out .
2. To resize the page to fit the width of the window, click Fit width .
Note: You cannot change the page display of a spreadsheet.

Playing a slide show

If the file you are viewing is a presentation, you can view it in slide show mode. View the presentation as a slide show by clicking Play Slide Show . The slide show starts from the first slide.

Downloading a file

To download a file, click Download .

Hiding details

To hide the details of a file, click Hide details . To display hidden details, click Show details . File details include, for example: file size, the number of file versions, and version history.

Taking more actions

To access more file actions, click More Actions .

Closing the viewer

To close the viewer, click Close .
